How Expiry Alerts Can Reduce Retail Loss
An alert is useful only if someone can find the batch and decide what to do. A growing red number on a dashboard is not a completed shelf check.
Use dates that match the stock
Record separate batches when the same product arrives with different dates. An alert based on the oldest date can be misleading if that batch has already sold out; one based only on the newest date can miss short-dated units.
Give each alert a next action
The daily list should show the product, date, location and quantity. Staff can check the physical pack, then record an action such as checked, moved forward, marked down, returned or removed. A note helps the next shift understand what happened.
- Make past use-by stock an urgent removal task.
- Review best-before stock for condition under store procedure.
Avoid alert fatigue
Choose review lead times that fit each category. Too many early alerts bury urgent work; too few leave no time to act. Review overdue alerts and stale quantities so the team trusts the list.
- Assign responsibility for each shift.
- Close or correct alerts after a real check.
Measure the effect
Look at recurring losses by product and action history over time. If alerts prompt earlier ordering adjustments and shelf rotation, loss may fall. Record the evidence rather than claiming a guaranteed saving from alerts alone.
Worked example: turn a notification into a task
An alert says 12 packs of cheese need review in three days. Staff find eight on the shelf and four in the backroom, but the four have a different printed date. They verify both dates and correct the batch quantities instead of marking the alert complete without checking. The eight earlier packs now have a clear next action under store procedure.
At the following shift, a worker can see who checked the packs and what was decided. If the same product repeatedly appears in urgent alerts, compare delivery size and weekly sales. Set a review window early enough to act, but keep urgent safety checks distinguishable from routine future reminders. Count completed physical checks, not merely alerts dismissed on screen.
A good alert connects a specific batch to a physical check and recorded decision.
